What is Multi Factor Authentication (MFA) for students?

Multi-Factor Authentication (MFA) is a security feature that requires you to provide two or more verification methods to access your account. This adds an extra layer of protection to ensure that only you can access your account.

To improve security of college systems, MFA is being rolled out to students later in 2025.

Why do I need to use MFA?

MFA helps protect your account from unauthorised access. Even if someone gets hold of your password, they won't be able to access your account without the second verification method.

It also provides increased protection against cyber-attacks and security breaches.

 

How does MFA work?

When you log in, you'll enter your password as usual. You'll then be asked to provide a second form of verification, such as a code sent to your phone by text, or an authentication app.

We recommend you download the Microsoft Authenticator app on your Android or iPhone.

 

What happens if I don't register for MFA?

Once MFA is rolled out, you will be prompted to set up your preferred authentication method. You will not be able to access your college Microsoft account until this is complete.

 

When will I be prompted for MFA?

You will be requested to verify your account:

  • the first time you use Microsoft 365
  • whenever you log into a new computer or phone
  • every 14 days for your Outlook/Microsoft 365 account

     

 

How many methods of authentication should I use

We recommend that you set up at least two methods from the following options:

  • Microsoft Authenticator app (our recommended option)
  • text
  • phone call

     

 

Can I use MFA on all my devices?

Yes, you can set up MFA on multiple devices, including your smartphone, tablet, and computer. Just make sure to configure each device with your chosen verification methods.

 

I'm having trouble setting up or using MFA. What should I do?

If you have followed the instructions but are still having trouble setting up or using MFA, you can call into the library for assistance.

Please remember to bring your mobile phone and student ID card with you.

How do I update my MFA preferences?

You can update your preferences and details at any time by logging into the security settings for your Microsoft account.

I don't have a mobile phone. What should I do?

If you don't have a phone, please contact the IT Support Team for assistance.

 

How do I set up MFA?

It is easier to use a laptop or PC to set up MFA. 

To register your device for MFA, go to your Microsoft account security settings.

Select Add sign-in method and choose one of the following methods to use: Phone or Authenticator app.

Setting up with Microsoft Authenticator App

  • Download the Microsoft Authenticator app from the App Store (iOS) or Google Play Store (Android) on your smartphone.

  • Open the Microsoft Authenticator app on your phone.
  • Tap on Add account and choose Work or school account.

  • Use the app to scan the QR code displayed on your computer screen.
  • If you can't scan the QR code, you can manually enter the code provided.

  • The app will generate a verification code.
  • Enter this code into the provided field on your computer to verify the setup.

  • Follow any additional prompts to complete the setup process.
  • You may be asked to set up backup verification methods, such as a phone number or email address, in case you lose access to the app.
  • Once you've completed the setup, make sure to save your settings.

  • You should see a confirmation message indicating that two-step verification is now enabled for your account.

 

Setting up with a Phone

  • Select United Kingdom (+44)
  • Enter your phone number and choose whether you want to receive a text message or a phone call.
  • Don't forget to drop the '0' at the beginning of your phone number!

  • Microsoft will send you a verification code via the method you selected (text or call).
  • Enter the verification code you received into the provided field.

  • You may be asked to set up backup verification methods, such as an email address or an authentication app, in case you lose access to your phone.
  • Once you've completed the setup, make sure to save your settings.
  • You should see a confirmation message indicating that two-step verification is now enabled for your account.
